Marketing & Admin Coordinator

We are looking for a marketing and admin coordinator that thrives in detailed project management and organization. As part of an internal marketing team, the Marketing Coordinator will support all tradeshows from booking booth spaces and hotels, through vendor contracts, scheduling and payments. This role will work closely with various members of the marketing team, territory managers and field representatives to ensure successful events and that no detail goes overlooked. The successful candidate will assist with merchandise programs and special promotions, as well as manage invoicing and budget tracking for the marketing department. This marketing coordinator should be driven by detail, organization and scheduling and have a supportive ‘can-do’ attitude.
Key Responsibilities & Duties:
▪ Coordinate all aspects of tradeshows from booking the booth space and hotels through supplier contracts and invoicing
▪ Track details and data for all aspects of tradeshows and events, including deadlines and costs
▪ Help develop strategies to increase ROI, traffic, engagement and brand awareness from our tradeshows and events
▪ Help with the coordination and execution of special events including dealer meetings
▪ Assist with the annual marketing budget, monthly invoicing and tracking
▪ Maintain the merchandise store and coordinate the Fall and Spring programs, from item selection, vendor coordination, communications and promotions through reporting and improvements
▪ Manage inventory of on-site and off-site items including signage and promotional items
▪ Coordinate the transportation and shipping for various items with internal staff and external suppliers
▪ Gather feedback and generate reports on the success of various activities (including tradeshows/events and special programs) and provide recommendations for improvements
▪ Maintain positive relationships with all team members, vendors, suppliers and partners
▪ Provide consistent and professional communications while maintaining brand voice and identity
▪ Collaborate with the marketing team and other internal and external stakeholders
▪ Participate in special projects for the marketing team as needed
Working Conditions:
▪ 40 hours per week, Monday to Friday
▪ Occasional weekend work and travel, valid passport required (10%)
